Oracle offers free use during COVID-19
Due to the COVID-19 pandemic, many organizations are facing new challenges related to their employees’ health and safety . In order to help their customer out, Oracle provides its Health and Safety module for free until the pandemic is over. ‘Health and Safety’ is part of the Oracle Cloud Core HR module, therefore this offer only applies for customers who are already working with Oracle Cloud Core HR. ‘Health and Safety’ is directly available and no agreements are needed.
The advantage of using Oracle ‘Health and Safety’ during COVID-19
Oracle ‘Health and Safety’ allows you to register all workplace health and safety incidents, including COVID-19 incidents. Besides the registration of incidents, the module also supports the process to take actions based on the registered incident.
For example, when an employee tests positive on COVID-19, you need to protect the co-workers by avoiding physical contact with this employee. When the manager registers the sick leave in Oracle Health and Safety, the system routes the incident to the person who is assigned to the incident (E.g. a ‘Covid Case’ manager) and he or she should take the appropriate actions. In this case the action can be to make an overview of all co-workers who were in contact with the sick employee so they can all be placed in preventive quarantine. The system also generates a notification to the person who registered the incident to confirm the incident is received and is being act upon.
Oracle ‘Health and Safety’ helps you to register all health and safety incidents within the company, including COVID-19 incidents. Besides the registration, the system automatically generates a flow to take action on the registered incident. Because of this tool you can easily map the health and safety status of your company, which will help you to face the new challenges caused by the COVID-19 pandemic.
Important things to know about Oracle Health and Safety
Oracle ‘Health and Safety’ is one of the least complex modules to configure in your own environment. Of course, you can make it very complex but the example above is an example with a basic setup. Oracle provides a white paper including step-by-step instructions for configuring basic incident reporting.
The module also includes a health and safety dashboard and it is a dedicated subject area in OTBI; the reporting tool in Oracle. This means Oracle will deliver standard health and safety reports, but if needed you can create and customize your own reports. These reports will give you a quick and easy overview of your company’s health and safety status.
The Oracle Health and Safety module is mobile responsive and accessible for all employees. Which means that the employees can access the information or register an incident on any device they want. This can be very helpful during your internal change management process, because it’s easy to use for all users. The screenshots below show you a step-by-step process of how Oracle ‘Health and Safety’ can be used. (Though the quality of the visuals is a bit low, hopefully they show what’s needed. Otherwise we would be happy to clarify.)
Data security within the Health and Safety module
It is possible that person-related sensitive data can be stored in the Health and Safety module. If you are concerned about the compliancy, Oracle also provides a tool which can help you with your compliancy and privacy questions. If you want to know more about this tool, please read our blog!
As an alternative solution it is also possible ensure that the ‘Health and Safety’ users are not collecting these sensitive data into the system. Or, you should make sure that only people who know what to do with sensitive data, like HR professionals, have access to ‘Health and Safety’.
Conclusion
The Oracle Health and Safety tool will help your company to face the new challenges caused by the COVID-19 pandemic. By register health and safety incidents in your system, automated flows are generated which will trigger actions to solve the registered incidents. The configuration of the tool is quite easy and it is easily accessible for all employees.
